1. Write down where your leads actually come from

List Thumbtack, local ads, website forms, calls, SMS and social messages separately. A platform logo can mean lead intake, messaging or a planned connector. Ask for the exact supported workflow and the account permissions you need.

2. Test the conversation, not just the contact record

Send a synthetic request about a small job. Check whether the source, customer context and replies remain together. Let a second team member take over and see whether they can understand what was promised without calling the first person.

3. Prepare an estimate from the scope

Use a representative service with labor and materials. Review what can be edited, who approves the scope and how the customer receives the estimate. If you need a deposit, verify that workflow and its processing costs separately.

4. Schedule and assign the work

Choose a realistic service window. Check which information the dispatcher and technician can see, how changes are handled and who confirms the appointment. Do not assume that an AI demonstration means autonomous scheduling is live.

5. Check invoice and payment visibility

A job marked completed is not the same as an invoice marked paid. Test how the team sees the balance and where payment status comes from. Ask how corrections, permission boundaries and customer questions are handled.

6. Compare the total cost

Add the subscription, phone number, expected call and SMS use, and any external provider fees. Compare lead and service-area limits. Read trial duration, card requirements and recurring terms in checkout; a free trial does not necessarily make all usage free.

7. Define what a successful trial means

Use the same test request in every shortlisted CRM. Record missing handoffs, time spent locating context and the steps that still require manual entry. Choose the system your team can operate reliably. Revenue claims from another business are not a forecast for yours.
