Define what the estimate includes

Keep the agreed work, exclusions, assumptions and customer questions with the estimate. A painting scope may include preparation and surfaces; a plumbing request may need diagnosis before a final quote. Do not treat those as interchangeable. If the scope changed during a call, update it before the next follow-up.

Choose a follow-up that answers a real question

A useful message asks whether the customer has a question about scope or timing. For example: “Did you have any questions about the work included in the estimate?” This is an illustrative template, not an automatic promise. Avoid pressure based on a made-up limited offer or an unverified slot.

Keep one owner for the next action

Record who last spoke with the customer, what the customer asked and when your team agreed to reply. An automated sequence should not interrupt a dispatcher who is waiting on a technician. Handle the objection before changing the price

If the customer says the quote is expensive, clarify whether the issue is scope, timing or budget. Any revised price must follow a verified company policy. Do not invent a warranty, free visit or discount. A clear explanation of the actual work is more useful than unsupported sales claims.

Stop when the customer declines

Respect a refusal and channel consent. Separate “not now” from “do not contact me.” Keep the decision in the record so another teammate does not restart the same pitch. Your legal and messaging obligations depend on the channel and situation; configure follow-up with the appropriate company policy.

Measure progress without claiming causation

Track estimate status, replies, accepted work and reasons customers decline. Compare results over a defined period and include manual actions. A booking after a follow-up does not by itself prove that AI caused the sale. Use the CRM to make the sequence visible and improve it with evidence.
